Privacy Policy

OAIS SGO ("we," "us" or "our") is a scholarship granting organization. We operate this website so families can apply for scholarships, donors can give and receive tax letters, and participating schools can manage their scholarships and donations. This policy explains what personal information we collect through this website, how we use it and who we share it with.

Information we collect

Account information

When you create a Parent & Donor Portal account, we collect your first and last name, your email address and a password. We store your password in a scrambled (hashed) form that we cannot read. On the My Account page you can also add your mailing address, your phone number, and your spouse's name, email and phone number.

Scholarship applications

A scholarship application includes:

  • The student's name, date of birth, grade, home address, the school they will attend and the academic year

  • The parent or guardian's name, email, phone number and address

  • The number of people in the household and the household's adjusted gross income (from IRS Form 1040, line 11), which we use to check income eligibility

  • Your agreement to the application's attestation, your typed signature, and the date and time you submitted it

We do not ask for Social Security numbers, and we do not ask you to upload tax returns or other documents.

Donations

When you make a donation, we collect your name (or, for a business or organization, its name and EIN), email, phone number and mailing address, your spouse's name and contact details if you add them, the amount, the school(s) you choose to support, any memo you add and the payment method you used.

Card and bank details are entered directly into forms provided by our payment processor, Stripe. Your full card or bank account number never reaches our servers, and we do not store it. When you give by bank transfer, you connect your bank account through Stripe, and Stripe receives your IP address and browser information to record that you authorized the payment. For donations made by check, our staff record the check number.

School and staff accounts

For school staff and OAIS SGO staff who use this website, we collect name, email, phone number, job title and role. Schools also give us contact details for their primary contact and head of school.

Information collected automatically

When you use this website, our systems record technical information such as your IP address, your browser type, the pages you request and the time of each request. We also keep a record of sign-in attempts, including the email address entered and whether the attempt succeeded, and a record of changes made in the portal, including who made each change.

Information from others

School staff or OAIS SGO staff may submit a scholarship application on a family's behalf with consent, or record a donation made by check. Our staff may also connect a donation to your account so that it appears there. Some records were carried over from the system we used before this website.

How we use your information

  • To create and manage your account and sign you in

  • To review scholarship applications, determine eligibility, award scholarships and disburse scholarship funds to schools

  • To process donations, send receipts and prepare the tax letters donors use to claim the Ohio tax credit

  • To email you about your account, your applications and your donations. We do not send marketing email through this website.

  • To help you with your account. Our staff can sign in to your account to see what you see and fix problems. When they do, we record which staff member signed in and what they did.

  • To keep the website secure, prevent fraud and misuse, and keep a record of activity

  • To meet our legal, tax and reporting obligations as a scholarship granting organization

We do not sell your personal information, and we do not use it for advertising.

Who we share it with

Schools

  • Scholarship applications: the school named on an application can see the whole application, including household income.

  • Donations: each school you support can see your name, contact details and mailing address, your spouse's details if you added them, your memo and the amount given to that school. Schools do not see an organization donor's EIN or the amounts given to other schools.

  • Account details: a school can see the name, email, phone number and address on the accounts of people who applied to or donated to that school.

Schools also receive email notices when applications and donations come in for them.

Your spouse

If you add your spouse's email address, we copy your spouse on donation receipts, which include your tax letter.

Service providers

We use other companies to run this website. They handle personal information only to provide their services to us:

  • Stripe processes card and bank payments.

  • Microsoft Azure hosts the website, our databases, file storage and system monitoring.

  • An email delivery provider sends our emails.

  • Our pages load fonts and icons from rsms.me and jsDelivr, which receive your IP address when a page loads.

Legal and program requirements

We may share information when the law requires it, to respond to valid legal requests, to meet the reporting requirements of the scholarship and tax credit program, or to protect the rights and safety of our families, donors, schools and staff.

Cookies

We use only the cookies this website needs to work:

  • Sign-in cookies keep you signed in. If you don't check Remember Me, you are signed out when you close your browser or after a period of inactivity. If you check Remember Me, you can stay signed in for up to 14 days.

  • Security cookies stop other websites from submitting forms on your behalf.

  • Message cookies briefly hold on-screen messages, such as a confirmation that your changes were saved.

We do not use advertising or analytics cookies.

Children's information

This website is for parents, guardians, donors and school staff. Students' information is provided by a parent or guardian, or by school or OAIS staff on the family's behalf. We do not knowingly collect personal information directly from children under 13.

How we protect your information

This website uses encrypted connections (HTTPS). Passwords are stored in hashed form, accounts are locked for a short time after repeated failed sign-in attempts, and school staff can see only information for their own school. School bank account details are encrypted in our database. No system is completely secure, so please choose a strong password and keep it private.

How long we keep information

We keep application, donation and tax letter records for as long as we need them to run the scholarship program and to meet legal, tax and audit requirements. When a record is removed in the portal, we may keep a copy in our records and activity logs for those same purposes.

Your choices

  • You can update your name, email, address, phone number and spouse details on the My Account page, and change your password under Change Password in the account menu.

  • School staff can choose which email notices they receive under Notification Settings.

  • To ask for a copy of your information, to correct information you can't change yourself (such as a submitted application), or to ask us to close your account, contact us. We may need to keep some records, such as donation and tax letter records, to meet our legal obligations.

Changes to this policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the "Last updated" date at the top.
